Naming Options
Think of Naming Options as filename templates or suggested filenames. It’s a way for you to make a list of your most commonly-used filenames and pick from them any time you save or name a file. Naming options speed up file naming, but even more importantly, they keep you consistent in the way you name files.
Here’s how you’d typically use a naming option:
- Save a file through Enterprise Organizer Pro’s save dialog
- Notice that the Filename field is also a drop-list
- Click the list’s drop-arrow to show your naming options
- Pick a name from the list
- Save
Naming options are available anywhere you enter a file or folder name in Enterprise Organizer Pro.
Dynamic Fields
Naming options can be static filenames, but they can also have dynamic information. For example, you can use dates and counters and you can even have the naming option pick up client or customer information from the drawer names.
Creating and Managing Naming Options
To create and manage naming options, see Naming Options.
Building Names on the Fly
Suppose that you are in the middle of saving a file and you find that there isn’t a naming option that fits your need. Use the Naming Wizard to make a new naming rule on-the-fly. See Naming Option Wizard for more information.
Custom Lists
Naming options work well if you have a fairly narrow set of rigid filenames. But some users need more flexibility in naming their files while still drawing off of predefined lists for consistency. That’s where the Custom Lists feature comes into play.
Custom lists are just that – your own, personal lists of items that frequently find their way into filenames. When it’s time to name a file, you can pop up your lists, click on items to build a filename, then click Save.
Use Naming Options and Custom Lists Together
The real power of custom lists comes when you pair them with naming options. Here’s how:
- Rename a file, or save a file through Enterprise Organizer Pro’s Save dialog
- Notice that the Filename field has a "..." button on the end; click the button
- Go to the Custom Lists tab
- Notice that the first list is Naming Options; select it
- Locate the naming option you want and double-click it to insert it into the filename
- Select another list on the left
- Double-click a list item to insert it into your filename
- Do the same for other list items
- Type in any other text you need to add
- Click Save
