Add Multiple Drawers/Folders

The Add Multiple Items feature will let you easily create many new drawers or folders at once, either from a hand-typed list or from a file. Access this feature from either the Drawers or Folders task button > Add Multiple Drawers/Folders.

Where Will the New Items Go?

  • If there are no drawers or folders selected in Enterprise Organizer Pro, the new items will be drawers
  • If there is a drawer or folder selected in Enterprise Organizer Pro, the new items will be folders under the selection

Enter the List by Hand

The dialog provides a large area where you can manually enter a list of new drawers or folders to create. Entering items is easy. Just type one name per line. You can check the list of names periodically by clicking the Validate List button. This will make sure that there are no invalid characters in the list.

Tip:

You can create subfolders for the items in your list. Use the Tab key to show where the subfolders go in relationship to the item above them. For example, the following items would create one drawer and two folders:

Smith, Brooke
    Estate Plan
    Living Documents

Here is the same example, except that the first subfolder has two folders of its own:

Smith, Brooke
    Estate Plan
        Wills
        Trusts
    Living Documents

Import Names from File

Most databases, personal information managers, address book applications, etc., will allow you to export a list of names to either a plain text file or a comma-separated text file which Enterprise Organizer Pro can import. Each item in the file will then be inserted into the list of names where you can edit or remove any entry as well as add additional items. When you click OK, Enterprise Organizer Pro will validate the list and then a new drawer or folder will be created for each item in the list.

Specific instructions for text and comma-separated files follow.

Import Names from a Text File

Enterprise Organizer Pro can import names from any plain text file. The file 1) should contain only one name per line, and 2) should be saved as Plain Text or ANSI Windows Text with a .txt extension. You will know that a file is plain text if the file can be opened in Windows Notepad (Windows Start button > Run > enter notepad.exe > OK).

To import a text file, click the Import from File button on the Add Multiple Items dialog. Browse to and select the file and then click Open. The list of names will be read from the file and inserted into the list of names.

Import Names from a Comma-Separated (CSV) File

A comma-separated file is similar to a plain text file. The difference is that it has one "record" per line with multiple "fields" per record. Fields are normally surrounded with quotation marks and are always separated by a comma. Hence the name comma-separated values or CSV file. Comma-separated files must have a .csv extension.

Click the Import from File button on the Add Multiple Items dialog. Browse to and open the .csv file. The file will be opened into a new dialog – the Import Items from File dialog where you can determine what fields will be used in the drawer/folder name. 

The new names will then be added to the list where you can edit them, delete items, or add additional items.

Create the Items

Before you create the items in Enterprise Organizer Pro, note that there are two extra options:

Ignore Duplicates
If you select the Ignore Duplicates option, Enterprise Organizer Pro will disregard duplicate names in the list and will also disregard names in the list that match existing names in Enterprise Organizer Pro. If there are duplicates, their contents will be merged together.
Apply Folder Template
You can optionally apply a Folder Template to each item in the list when it gets created. See Folder Templates for more information.

When you are ready to create the items in Enterprise Organizer Pro, click the OK button. Enterprise Organizer Pro will quickly check for name conflicts (unless you have selected Ignore Duplicates) and will make sure that none of the names have illegal characters: / : * ? " ¦ =. If any problems are reported, you can correct them before creating the new items.

NOTE: Adding multiple items cannot be undone.
