This article describes how to speed up searches with Enterprise Organizer Pro’s built-in search engine.
A broad search is slower than a narrow one. So try to keep your search query as narrow as possible. You should avoid wildcards unless you really need them. Wildcard searches can get very slow, and the more wildcards you add the slower the search will go.
You should also use AND searching instead of OR searching. For example, the plain English search query housing market will return any document with housing OR market. Narrow the search by putting a "+" in front of each term. A search for +housing +market will only return documents with BOTH terms. Narrow it even further by using quotation marks: "housing market". This will search for that exact phrase in the documents.
You can also try disabling Fuzzy and Stemming searches. In the "Search" view, you’ll notice a section of "Advanced" options at the bottom of the search fields on the left. Among these are "Stemming" and "Fuzzy". Stemming searches will find grammatical variations of a term. For example, if you search for house it will also return hits for houses, housed, and housing. Fuzzy searches allow for typos in words. So if you search for cat, it will also return hits for cut and cot. Disable both Stemming and Fuzzy and see if this speeds up searching.
If searching is still slow with narrow search queries, you might try rebuilding the indexes to optimize them.
In the "Search" view, click the "Index Options" button to bring up the index manager. Select each cabinet you want to re-index, select the "Full" index option, and click "Start Indexer". This will rebuild the indexes from scratch. You may want to do this during a lunch break or overnight when your computer isn’t in use. A full rebuild can take some time.
NOTE: If any of the cabinets are grayed out, it means that another computer is in charge of maintaining that index. Locate that computer and rebuild the indexes from there.
Instead of sharing indexes on a server, consider letting each computer have its own index on its local drive. Searching a local index is faster than accessing the index through the network.
Go to Enterprise Organizer Pro’s Settings ("Tools" menu > "Settings") and select the "Indexing" option on the left. On this screen, set the "Root Path for Local Search Indexes" and "Root Path for Network Search Indexes" to somewhere on the local drive. Then hit "Apply" and "OK".
Now follow the instructions to Rebuild the Search Indexes above to build the indexes.
