Xerox DocuShare - Upload properties

Fields that display the metadata browser icon  can be populated with a metadata value.

Upload properties:

• Collection ID use the browse button to select the root collection.
• Subcollection specify the subcollection the document will be stored in. To build a collection path existing of multiple subcollections please use the following syntax [metadata1][metadata2]. Subcollections can be created using either fixed and/or variable metadata.
• Title enter the value that will be displayed in the title field in DocuShare. Use fixed or variable metadata.
• Upload type select the upload type, the options are:
• New: a check is carried out to determine whether the document already exists in the specified collection. If the document does exist, an incremental number (e.g. invoice_00001.pdf, invoice_00002.pdf ) will then be assigned to the new document).
• New: use same titles: no check is carried out to determine whether the document already exists in the specified collection. A document with a duplicate name (title) will be created if a document already exist with the same name as the store document.
• Overwrite a check is carried out to determine whether the document already exists in the specified collection. If the document does exist, the old document will be overwritten by the new document.
• Append before: a check is carried out to determine whether the document already exists in the specified collection. If the document does exist, the new document will be added to the existing document. All new pages will be placed before existing pages.
• Append after: a check is carried out to determine whether the document already exists in the specified collection. If the document does exist, the new document will be added to the existing document. All new pages will be placed after existing pages.
• Version update: a check is carried out to determine whether the document already exists in the specified collection. If the document does exist, the document will be added and the version management function will be activated. Both documents can be accessed.
• Ignore case when checked title and collection name check will be non-case sensitive and in the same way as the Windows file system.

Custom object:

Name specify which custom object to use for adding documents to DocuShare. Skip this option when adding the document using the default document class. Please be sure to use the actual Name instead of the Title of the Custom Object.

Custom properties:

The most common properties are already listed. Custom properties that must be populated can be specified within the grid. Be sure to use the Object name instead of the title of the custom property.

• Summary a brief description of the document. Use either fixed and/or variable metadata.
• Description a description of the document. Use either fixed and/or variable metadata.
• Author the author of the document. Use either fixed and/or variable metadata.
• Keywords enter keywords. With these keywords a document can be found quickly. Use either fixed and/or variable metadata.

Custom property formats:

Certain custom properties in DocuShare, such as Date, Menu and Boolean fields, require that the information is submitted in a certain format. Below are the formats that are required for populating one of these custom properties. If the format of one property is not correct, then all of the custom properties will fail to populate.

• Date a date field will not be populated in Docushare unless it is in a certain format. The format required is --T::Z (e.g. 2008-09-14T12:32:47Z). Note: since the time is first converted to GMT, and then back to the time zone of the server that DocuShare resides, differences in time zones may affect the end result. Using metadata to populate with the current date and time would look like the Scan Date custom property below:

• Menu a menu item may be populated under the Custom Properties. To specify which item is populated, the Index number of that menu item needs to be used instead of the menu item Label or ID (e.g. A list containing four items are referenced 0-3, 0 being the first, 1 the second etc). In the image below, using a value of "0" would populate the property with the menu item Label "Invoice".
• Menu a menu item may be populated under the Custom Properties. To specify which item is populated, the Index number of that menu item needs to be used instead of the menu item Label or ID (e.g. A list containing four items are referenced 0-3, 0 being the first, 1 the second etc). In the image below, using a value of "0" would populate the property with the menu item Label "Invoice".
• • Boolean to populate a Boolean custom property, a 1 must be entered in the value field of the custom properties grid to return the true label in the custom properties. Inputting a character or digit other then a 1 will cause the false label to be populated. These labels are specified in DocuShare when the custom property is created. In the image below, the True Label is set to "Allowed", so when a value of 1 is used in the custom property, the field will be populated with the value "Allowed", otherwise, the False Label "Not Allowed" will be used.
