Email in

IMPORTANT: the Email in module will pull all email messages from the mailbox. Email messages that do not have an attachment will be deleted, therefore it is not recommended to use a mailbox that is also used to receive "normal" email. A dedicated mailbox should be used that is solely used by the Scan-to-email enabled device.

It is recommended to configure the Scan-to-email enabled device to deliver TIFF files instead of PDF or JPEG files. Some Scan-to-email enabled devices deliver JBIG2 or linearized PDF files, these compressions are not supported by the application and the end result will be a blank PDF file. Please refer to the device documentation to switch of these PDF compressions. If JPEG files are delivered by the device the application may convert these files to large PDF files.

Configuration:

  • Enable:  use this option to enable or disable this trigger.
  • Title:  the name of the trigger.
  • Description optional field to enter a description to identify the trigger.
  • Scan every day at allows a trigger to perform a scan only once a day. Consequently, if 12:00:00 is entered, the Mailbox will be scanned for new documents every day at noon.
  • Scan every allows a trigger to scan on a predetermined interval. If 00:10:00 is entered, the Mailboxwill be scanned for new documents every 10 minutes.

Email:

  • Server enter the DNS name or IP Address of the mail server
  • Username the username of the mail account.
  • Password the password of the mail account.
  • Type the mail protocol, the choices are IMAP4 or POP3.

The picture at the top of this page shows IMAP4 settings. An example of POP3 settings are shown on the picture below:

  • File formats supported:
    The Email in module imports the following file formats:
  • JPEG
  • TIFF
  • PDF
  • Using metadata with the Email in module:
    The application is able to retrieve additional information regarding the scan from the email message fields. The message fields that can be used as metadata are the To, the From and the Subject field. These fields can be used within the application using the following syntax [To] , [From] and [Subject]. It is possible to store multiple values in the Subject field. The values can be separated using the metadata splitting functionality, please read topic Metadata description for more information about splitting metadata values.
