Bates stamp tab

This option allows to insert fixed or variable meta data into the scanned document, this text is inserted in the original document and cannot be deleted. 

Fields that display the meta data browser icon can be populated with a meta data value.

Properties

  • Enable:  this option allows to enable or disable the stamp function.
  • Text: write the text that will be stamped into the document. Use either fixed and/or variable meta data.
  • Font and Size: use these settings to change the font style of the text that is inserted into the scanned document.
  • Color: use this setting to change the color of the text.
  • Position: specify where the text will be inserted into the scanned document by ticking this box.
  • Alignment, Rotate:  these options are to enable refining the positioning of the text even further.
  • Layer and Text border: these options enable refining the format of the text.
  • Enable audit: the audit file maintains a record of every scanned document that is stamped.
  • Audit file: the path and file name of the audit file. A line will be added to the audit file for every stamped document. This line contains document creation date/time, the used template, the used scan module and document storage location. See below for an example of one of the lines:

  • Bates Numbering:
    Bates Numbering is a method of indexing legal documents for easy identification and retrieval. The Bates Stamp module allows users to apply Bates numbers to one document or to a whole set of documents, and they may apply a Bates Numbering sequence to a single or multiple-page document. Document sets may also be given a unique set of numbers or prefixes which might include text such as a set number, case number, or firm name.

    In order to sequentially number the pages in a document the [PAGENUMBER] meta data field can be utilized.
    Use following syntax if leading zeros are required:

PAGENUMBER 00001: the bates numbering will start with the value 00001 and after that increment (00002, 00003-00009, 00010, and so forth)

PAGENUMBER 0025: the bates numbering will start with the value 0025 and after that increment (0025, 0027-0099, 0100, and so forth)

PAGENUMBER startvalue: the bates numbering will start with a value supplied by the user via a metadata question; the user must supply the value with leading zeroes, for example, 0023.
