Troubleshooting Built-in Search

If the built-in search engine (not Windows Search) never returns any search results, your first step is to make sure that you actually have indexes. Click the "Cabinets" button then the "Indexing Options" tab. Look at your cabinets. They should have a "Last Indexed" date. If they don’t have a date here, they haven’t been indexed yet.

Your next step is to make sure that search is working properly. Do this:

- Start a new document in Word or WordPerfect (or whatever your word processor is). Type an uncommon word, like xenophobia or hippopotamus or zenith.

- Save the document into one of your cabinets.

- Now go to the "Search" tab in Enterprise Organizer Pro.

- Click the "Indexing" button > "Manage Indexes".

- Select your cabinet on the list and click "Start Indexer" to refresh the index.

Now do a search for the term. The document should come up in the search results. If it doesn’t, there’s some problem with search - most likely a corrupt search index. To fix that, click "Indexing" button again > "Manage Indexes", select the cabinet on the list, and select "Full" as the index type, then run the indexer. This will rebuild the index from scratch.

If the search engine is working properly, you now need to verify that your documents actually have text in them, especially if they’re scans. For scans, we can only run a content search on PDF files that have been made searchable through OCR. To see if the PDF is searchable:

- Open it in Acrobat

- Go to the "Edit" menu > "Select All"

- You may get an error at this point that there is no text in the file, which answers our question

- If there is text, it will get selected

- Go to the "Edit" menu > "Copy" to copy the text

- Now paste the text in your word processor

This will let you see what the text looks like. You can see if the OCR process gave you good text or if there are a lot of errors, which would hinder search.
