Begin Sharing
You can easily share items like cabinets, folder templates, naming options, etc. with other users on your network. You can also share separators, search indexes, and other settings, but they’re handled a little bit differently (see Begin Sharing below).
How to Share
Sharing is a three-step process:
- Create a folder on the network to hold the settings
- Create shared items
- Point all of the computers to the shared folder
Step 1: Create a Shared Settings Folder
First you need to create a folder somewhere on your network to hold the shared settings. These settings are then available to all of your workstations. We recommend you name the folder Shared Settings. For example, if your network drive is N:, the folder will be called N:Shared Settings. See The Shared Settings Folder for more information.
The shared settings folder is ONLY for settings. It should be separate from your cabinets.
Step 2: Create Shared Items
Now you can begin creating sharing items. You’ll do this through (Enterprise Organizer Pro Professional)’s Admin Tool. Do the following:
- Go to the Tools button on the main toolbar
- Select Administer Shared Settings
- The Admin Tool will open
- Click the Open button on the Admin Tool
- Browse to the shared settings folder you created
Now you’ll see a number of sections show up on the left: Cabinets, Folder Templates, etc. You’ll use these to create all of the items you want to share on the network.
Step 3: Point the Other Computers
Finally, you need to point the other computers in your office to the shared settings folder so they can access the shared items. To do this:
- Go to one of the other computers
- On that computer, go to the Enterprise Organizer Pro Tools menu > Connect to Shared Settings
- Browse to the folder you created in Step 1
- Click OK
- Restart Enterprise Organizer Pro
Repeat this on each of the workstations that needs to access the shared items. See Set Up the Other Machines for more information.
A Note about Sharing Cabinets
If you’re sharing a cabinet on the network, there are two important things to be aware of:
- The cabinet must be on a network drive that everyone can access
- The cabinet path must be the same on every computer
Moving a Cabinet to the Network
If the cabinet is on your own computer, you’ll need to move it onto the network before you can share it:
- First create a folder on the network to hold your network cabinets. For example, N:Shared Cabinets. Change N: to the letter of your network drive.
- Click the Cabinets button to open the cabinet manager
- Select the cabinet you need to move
- Click Move
- Browse to the folder you just created to hold your network cabinets
- Click OK
This will move all of the cabinet files to the new location on the network and update your cabinet settings.
Use the Same Path
The cabinet must be available from the same path on every computer. For example, suppose that your computer sees the cabinet at N:Shared CabinetsClients. Once you share the cabinet, all of the other computers will expect to find it at the same place. So it’s important that they all use the same drive letter for the network drive and the same path to the cabinet.
