Open Text eDOCS - Lookup

This module can be used for lookup purposes, which makes it possible to select the value of Open Text eDOCS entities from a list on the device client screen before scanning and the selected value is stored as a metadata entry.

If a new lookup question is created, Open Text eDOCS must be selected for the Module setting. At this time or if an existing Open Text eDOCS lookup question is opened for editing, the connection settings for the Open Text eDOCS system should be specified on the dialog below:

Here the following Connection settings must be set correctly:

  • Server: The name of the Open Text eDOCS server. (The name of the server can be checked in DM Connection Wizard.)
  • Authentication method: The authentication method for login to Open Text eDOCS server. The following methods can be selected:
  • Library authentication: A user account of the eDOCS database is used for connecting to eDOCS. This is the default setting.
  • Windows authentication: Select this option if the Open Text eDOCS system can be accessed with the Windows user, who is running the ScanFlowStore services (Administration Tool and Listener).
  • Netware Bindery authentication: A Novell NetWare (version 2 or 3) user account is used for connecting to eDOCS.
  • Netware NDS authentication: A Novell Directory Services or Novell e-Directory user account is used for connecting to eDOCS.
  • Library: Select an eDOCS library to connect. The available libraries are automatically listed depending on the selected eDOCS server.
  • Log on as section: Specify the user credentials to connect to the selected eDOCS server and library.
  • Username: Username of the user credential. If a Novell NetWare user credential is used, the fully qualified distinguished name should be set.
  • Password: Password of the user credential.
  • Confirm password: Confirmation of the Password field (it should have the same value).
  • Domain: Domain where the specified user account is located. It is only necessary if Windows authentication is used.

After providing the connection options, the other settings of the lookup question must be specified. The general lookup question settings are described in another section, so just the Open Text eDOCS related topics are discussed here. The Open Text eDOCS related settings can be seen below:

  • Source: Select an Open Text eDOCS entity group. Items of the selected entity group will be listed on the device screen.
    When a source is selected, a question dialog appears whether the available items of the selected Open Text eDOCS entity group should be downloaded immediately. Downloading data is useful to review the available items or select a default item.
    Depending on the selected eDOCS library (on the connection settings dialog) different sources are available. In eDOCS there are four library templates: “Default”, “Financial”, “Government” and “Legal”. If a new eDOCS library is created, it should use one of the four library templates. So depending on the selected library the following sources are available:
  • Accounts: It is available only, if the type of the selected library is “Financial”.
  • Clients: It is available only, if the type of the selected library is “Legal”.
  • Departments: It is available only, if the type of the selected library is “Financial” or “Government”.
  • Matters: It is available only, if the type of the selected library is “Legal”.
  • Organizations: It is available only, if the type of the selected library is “Government”.
  • Users: This is always selectable independently of the library type.
  • Meta data value column: Select a property field of the selected Open Text eDOCS entity group. This property of the selected entity will be used by ScanFlowStore during the processing of the scanned images.
  • Display text column: Select a property field of the selected Open Text eDOCS entity group. This property of the entities will be visible in the lookup list on the device client screen.
