Creating and using folder templates

Adding a folder Template

To add or edit a Folder Template, go to the Tools button > Folder Templates, then click the Add or Edit button. Then enter the following:

Template Name

Each Folder Template must have a unique name. The name is only used to identify the template.

Template Layout

Below the template name is where you will define the folder layout using these buttons:

Add

Adds a folder at the current level. If no other folders are selected, it will be at the top level.

Add Child

Adds a sub-folder to the currently-selected folder.

Delete

Deletes the selected folder and all of its subfolders.

Rename

Lets you rename the selected folder.

Promote

Makes the selected folder a top-level folder.

You can also drag/drop folders into other folders. But you can only move a folder to the top level with the Promote button.

Tip:

You can make a folder template out of any drawer’s existing folder layout. Just select the drawer you want to use as a model for the template, then click the Drawers button > New Template from Folders.

Use a Folder Template

A Folder Template can be applied to any cabinet, drawer or folder (Folder Templates). When you apply a folder template, all of the folders in the template will be added to the drawer/folder. For example, you may have a template with folders for each month of the year. If you "apply" this template to a drawer, it will add all of the month folders to the drawer.

A) New Drawer or Folder

When you create a new drawer or folder, you can optionally apply a Folder Template at the same time. From the New Drawer/Folder dialog, select the Apply Folder Templateoption and select a Folder Template from the list. When the drawer/folder is created, the folder layout will be applied to it automatically.

B) Existing Drawer or Folder

To apply a Folder Template to an existing drawer or folder:

  1. Select the drawer or folder which will contain the new folder layout
  2. Go to the Drawers or Folders task button > Apply Folder Template
  3. From the Folder Templates dialog, select the template you want to use and click Apply

This will create the folder layout in your selected drawer or folder. Any existing files or folders will be unaffected (see below).

C) Entire Cabinet

You can apply a folder template to every drawer in a cabinet at once. This is done by applying the template to the cabinet instead of an individual drawer. To apply a folder template to all drawers in a cabinet:

  1. Click the Cabinets button to open the Cabinets Dialog
  2. In the list of cabinets, click the cabinet name with the right mouse button
  3. Select Apply Folder Template on the pop-up menu
  4. From the Folder Templates dialog, select the template you want to use and click the Apply button

... or:

  1. Right-click on the cabinet’s tab
  2. On the pop-up menu, select Apply Folder Template
  3. From the Folder Templates dialog, select the template you want to use and click Apply

It is safe to repeat this operation on a cabinet, even if you have applied the same template to the cabinet before (see below).

IMPORTANT: Existing Folders and Files

Folders in a template will only be added if they do not already exist. This means that applying a Folder Template to an existing drawer or folder will not affect its current contents. Even if there is already a folder which has the same name as a folder in the template, it will be unaffected.
